SCELC / California State University System Shared Print Program


Program Goals:

The SCELC Shared Print Program is a collaborative shared print program for monographs. SCELC's program follows emerging best practices to provide for preservation of a reasonable number of copies within a defined network as well as mechanisms for identifying unique copies, widely-held copies, and processes to share books among participating libraries. SCELC joins in the national effort as a founding member of the Partnership for Shared Book Collections.  The Partnership Vision is to ensure the long-term preservation of, access to, and integrity of monographic print resources.

The SCELC CSU Shared Print Program is a joint effort between SCELC and the California State Universities allowing SCELC affiliate institutions to join in the national shared print effort and gain access to OCLC's SCS GreenGlass software at a discounted rate. In December 2018, the CSU Council of Library Deans (COLD) approved the shared print resolution presented by COLD SPIRIT (Shared Print Investigative Reconnaissance and Implementation Team, the shared print task force appointed by COLD in early 2018 to investigate and make recommendations regarding shared print). That resolution recommended CSU participation, on a campus by campus voluntary basis, in the Statewide California Electronic Library Consortium (SCELC). This is an exciting development that will allow CSU Libraries to participate on an opt-in basis in a cooperative intersystem initiative for responsible print retention and reduction. Documentation for the CSU SCELC project

Six CSUs formed the initial CSU Cohort, contributing nearly 600,000 retention commitments:

Training webinars will be scheduled to review the Data and Cataloging and Comparator forms
prior to submitting your catalog extract to GreenGlass.

Create up to six Comparators (groups of libraries to compare holdings with)
OCLC Cataloging Data Form and list of location and item types to define in/out of scope
FTP records to OCLC site
Confirm or modify retention model
Accept retention commitments
Add 583 for commitments in local catalog
Register commitments in WorldCat 
Sign up for the SCELC Reciprocal Interlibrary Loan program
Notify SCELC of lost/missing retention commitments using this spreadsheet
Prior to weeding retention commitments, give 1-month notice to participants using Shared_Print@SCELC.org
Use GreenGlass for internal projects for two years after data is released


Retention Model: Goal 20-25% of collection

COLD proposed a retention model in 2018 which would duplicate previous SCELC retentions,
in addition to following the original SCELC model.  The initial participating CSUs proposed a new model,
which COLD approved in 2020.  Future CSU participants can adopt one of the existing models, or develop their own,
with COLD approval. 

As updated by the Shared Print Committee April, 2024:

Unique Component:

Retain all if SCELC holdings = 1;   CA holdings fewer than 5; Publication Year <2005

Widely-held Component:
Retain 1 if SCELC holdings > 1; SCELC not yet retained;  Publication Year <2005

Retain 2 if SCELC participant usage >40

Retention commitment period: through 7/31/2032
